Introduction

Managing a fleet without real-time visibility is like driving blindfolded. You don’t know where your vehicles are, whether drivers are following routes, or if a truck has been sitting idle for hours burning fuel. That’s exactly the problem FleoLink solves.

FleoLink is a GPS fleet management platform built for logistics companies, insurance providers, transport operators, and anyone who needs to know where their vehicles are — right now. With real-time tracking, smart alerts, theft protection, and powerful analytics, FleoLink gives you full control over every vehicle in your fleet.

The best part? Getting started takes less than 5 minutes. In this guide, we’ll walk you through every step — from creating your account to seeing your first vehicle appear on the live map.

What You’ll Need

Before we begin, make sure you have the following ready:

  • A GPS tracking device — FleoLink works with Teltonika GPS trackers and other compatible telematics devices. If you purchased a device from FleoLink, it may already be pre-configured for you.
  • The device’s IMEI number — This is a unique 15-digit identifier printed on the device label or its packaging. You’ll need it to register the device on the platform.
  • An active SIM card (installed in the device) — The SIM card allows the device to send tracking data over the cellular network. If you purchased a device from FleoLink with a SIM card plan, the SIM is already pre-installed and activated — no extra setup needed.
  • A computer or smartphone with internet access — to set up your account and manage your fleet.

Got everything? Let’s get started.

First, you need to sign up for a FleoLink account.

  1. Go to app.fleolink.com/sign_up.
  2. Enter your email address and create a password.
  3. Click Sign Up.
  4. Check your inbox for a verification email and confirm your account. If you don’t see the email in your inbox within a couple of minutes, check your spam or junk folder — sometimes verification emails end up there.

That’s it — you’re in. Once logged in, you’ll land on the FleoLink dashboard.

Tip: If your organization already has a FleoLink account, ask your administrator to invite you instead of creating a new account. This way, you’ll have access to the existing fleet and company data.

Step 2: Create a Company

Before you can add devices and track vehicles, you need to create a company in FleoLink. A company is the workspace where all your vehicles, drivers, alerts, and data live.

Why is this step important? FleoLink uses a multi-tenant architecture, which means each company has its own isolated environment. This keeps your data private and organized — especially useful if you manage multiple fleets or clients.

Here’s how to create a company:

  1. From the dashboard, click “Create Company”.
  2. Enter a company name (e.g., “ABC Logistics” or “My Fleet”).
  3. Optionally, add a description for internal reference.
  4. Click Create.

Your company workspace is now ready. FleoLink will generate a unique identifier (slug) for your company, and you’ll be redirected to your new company dashboard.

Tip: You can create multiple companies under one account if you manage separate fleets for different clients or business units.

Step 3: Connect Your GPS Device

This is the main event — getting your GPS tracker online and reporting to FleoLink. The process differs slightly depending on whether you purchased the device from FleoLink or you’re bringing your own device.

If you bought your GPS tracker directly from FleoLink, the setup is as simple as it gets. Your device comes pre-configured with the correct server address and port, so it already knows where to send tracking data.

Here’s what to do:

  1. Register the device in FleoLink — do this before installation, while the device label is still easy to access:

    • In your company dashboard, go to “Units” (or “Devices”).
    • Click “Add Unit”.
    • Enter the device’s IMEI number — you can type it manually from the device label or packaging, or simply scan the QR code / barcode on the device with your phone camera to fill it in automatically.
    • Optionally, fill in additional details such as device model, serial number, or SIM card number.
    • Click Save.
  2. Install the device in your vehicle. Most Teltonika trackers are plug-and-play — simply connect the device to the vehicle’s OBD-II port or wire it to the power supply according to the device manual.

  3. Power on the device. Once the vehicle ignition is on (or the device is wired to constant power), the tracker will boot up and start searching for a GPS signal.

  4. Wait for the first data point. Within 1–3 minutes, the device will establish a cellular connection, acquire a GPS fix, and send its first location to FleoLink. You’ll see the vehicle appear on the live map.

That’s it — your device is connected and tracking.

Option B: Connecting Your Own Device

Already have a GPS tracker? You can connect it to FleoLink as long as it supports the Teltonika protocol (which most Teltonika FMB, FMC, FMM, and FMU series devices do).

The key difference is that you’ll need to configure the device’s server settings so it knows where to send data.

  1. Register the device in FleoLink — follow the same steps as Option A above:

    • Go to “Units” → “Add Unit”
    • Enter the IMEI number
    • Optionally, fill in additional details (device model, serial number, SIM card number)
    • Click Save
  2. Configure the device server address. There are two ways to do this:

Method 1: Via SMS command (easiest — no software needed)

Send an SMS to the device’s SIM card phone number with one of the following commands:

If your device has no username/password set (factory default):

      setparam 2004:fmbteltonika.fleolink.com;2005:1986;2006:0

Note: The two spaces before setparam are mandatory — do not remove them.

If your device has a username and password configured:

    username pass setparam 2004:fmbteltonika.fleolink.com;2005:1986;2006:0

Replace username and pass with your device’s actual credentials.

The device will apply the settings and respond with a confirmation SMS.

Method 2: Via Teltonika Configurator (if you have USB access to the device)

Connect the device to your computer, open Teltonika Configurator, and set:

    • Server address (Domain/Hostname): fmbteltonika.fleolink.com
    • Server port: 1986
    • Protocol: TCP

Save the configuration and reboot the device.

  3. Install the device in your vehicle — connect it to the OBD-II port or wire it to the vehicle’s power supply.

  4. Wait for the device to reconnect — the device will automatically apply the new settings and start sending data to FleoLink. Your vehicle should appear on the live map within a few minutes.

Important: The IMEI must match exactly between the physical device and the entry in FleoLink. If the IMEI doesn’t match, the server will reject the connection.

Step 4: Verify the Connection

Once you’ve added the device, here’s how to confirm everything is working:

  1. Check the live map. Go to your company dashboard and open the Map view. Your vehicle should appear as a marker on the map with its current location.
  2. Check the device status. In the Units list, look for a green indicator next to your device — this means it’s actively sending data.
  3. View location history. Click on the vehicle and check its History tab. You should see recent tracking points with timestamps, coordinates, speed, and other telemetry data.

If you see data flowing in — congratulations, your device is successfully connected!

Troubleshooting Common Issues

Device not showing on the map?

  • Double-check that the IMEI in FleoLink matches the one on the physical device.
  • Make sure the SIM card is active and has a data plan. The device needs cellular connectivity to transmit data.
  • Verify that the device is powered on and has a GPS fix (most devices have LED indicators showing GPS and cellular status).

Device shows as offline?

  • If you’re using your own device, verify the server address (fmbteltonika.fleolink.com) and port (1986) are configured correctly.
  • Check that the protocol is set to TCP, not UDP.
  • Restart the device by turning off the vehicle ignition for at least 5 minutes, then turning it back on. This gives the device enough time to fully power down and reset its connection.

Location data seems inaccurate?

  • GPS accuracy improves in open-sky environments. If the vehicle is parked in an underground garage or a dense urban area, the initial fix may be less precise.
  • After the device acquires a clear GPS signal, accuracy will typically improve to within 2–5 meters.
